AI Transparency Statement

1. Our commitment

In Cahoots Co uses artificial intelligence (AI) and automation to help us work faster and serve clients better. We’re committed to using it ethically and openly. Our approach is aligned with AS ISO/IEC 42001:2023 and the Australian Government’s Guidance for AI Adoption. Being aligned with the standard doesn’t mean we’re certified to it.

2. How your information moves

• Website enquiries. Our website is built on the Duda platform. When you send an enquiry, your details are captured through our website form, and we tell you at that point how they’ll be used.
• The “What should be easier?” box. The question box on our home page gives you a pre-written first take based on the kind of question you ask. It doesn’t use a live AI model. Your question is saved so Ben can read it and follow up.
• CRM and business apps. Your contact details are managed in Bigin by Zoho, our CRM, and our business apps are built on Google AppSheet. Both store our data in Australian data centres.
• No automated decisions about people. Bigin includes AI features, but we don’t use them, or any other AI, to score, rank, filter or make decisions about clients, leads or staff. Every decision about a person is made by a person.

3. Our approved AI tools

Our team only uses this approved list of tools, on paid plans. We review it every three months.

• Productivity and automation: Google Workspace (including Gemini and NotebookLM), Google AppSheet, Zapier and Make.
• Meetings: Transcription in Google Workspace. We tell everyone before a meeting if we plan to transcribe it, and anyone can opt out.
• Research, writing and code: Claude (Anthropic), ChatGPT (OpenAI) and Manus.
• Website: Duda, including its AI site-building tools. Anything AI-generated on our website is reviewed by a person before it goes live.
• CRM: Bigin by Zoho. Its AI features aren’t used for decisions about people.
• Synthetic audio: ElevenLabs, which holds ISO/IEC 42001 certification. We never clone a voice without the express, verified consent of its owner.

4. Where data is processed

• Some of these tools process data outside Australia, mainly in the United States.
• Before anything goes into an AI tool, we remove personal information where we can, and we don’t put confidential client information into AI tools without the client’s agreement.
• Where a tool lets us choose, we turn off the setting that allows the provider to use our conversations to train its models.

5. People stay in charge

• Human review. Every AI-assisted deliverable, whether it’s a blog post, a piece of code or a voiceover, is reviewed, edited and approved by a person before it reaches you.
• Intellectual property. We add significant human input to AI-assisted work to help protect our clients’ intellectual property and copyright interests.
• Honest marketing. We don’t exaggerate what AI can do, and our marketing claims are substantiated.
• Subcontractors and specialists. Anyone who works with us on client projects uses the same approved tools and follows the same rules.

6. Your choices

• You can ask us not to use AI on your work. Just let us know at the start of a project.
• You can ask for a human review of any AI-assisted work, or an explanation of how any of our automated workflows work.
• You can opt out of meeting transcription.
